Part-Time Office Assistant

REPORTS TO: Executive Director

FLSA STATUS: Non-exempt, hourly

HOURS: 20 hours per week, year-round. Schedule is flexible with the requirement of being in the office regularly each week (Monday–Friday) and some special events in the evening.

COMPENSATION: $18–$19 per hour, commensurate with experience

Purpose

Support the Executive Director and staff with administrative, financial, and member-facing tasks that keep the Chamber running smoothly, while providing a professional and courteous standard of service to members and visitors.

Duties

Administrative & Customer Service

  • Customer Service: Answer phones and greet visitors in a friendly, professional manner.
  • Digital Proficiency: Maintain proficiency in Office365, Word, and Excel.
  • General: Other duties as assigned by the Executive Director.

Financial & Membership Administration

  • Financial Management: Complete banking deposits, process incoming credit card payments, pay invoices in a timely manner, and post credit card expenses for reconciliation.
  • Membership Billing: Take the lead on Annual Membership Dues invoicing.
  • Database Maintenance: Establish new members and maintain ongoing member updates in QuickBooks, the member database, and Constant Contact.

Program & Event Support

  • Event Support: Assist in organizing programs and maintaining financial spreadsheets for Chamber events (including Annual Meeting, Local Showcase, Family Fun Fest, Golf Outing, ATHENA Awards, Leadership Academy, Gather, etc.).
  • Program Administration: Support additional programs including Ambassador meeting support, New Resident Welcome Bags, New Membership Information packets, New Neighbor Program, and the Annual Business Directory.

Education

  • High School Diploma or equivalent required.
  • College coursework or relevant work experience in basic bookkeeping and managing accounts payable/receivable preferred.

Skills

  • Self-starter with excellent customer service skills and a positive outlook.
  • Strong verbal and written communication skills.
  • Hands-on knowledge of QuickBooks preferred and proficiency in Microsoft Excel and Word required.
  • Ability to work independently, exercise discretion, and adapt to shifting priorities.
  • Knowledge of the DeKalb community and surrounding area is a plus, given the Chamber's role as a community organization.

Physical Requirements & Work Environment

  • Primarily sedentary office work; ability to sit at a desk and use a computer for extended periods.
  • Ability to lift and carry up to 20 lbs. (e.g., office supplies, event materials).
  • Work is performed on-site at the Chamber office, Monday through Friday.
